Vehicle Hire Information and Terms

What Do I Need to Hire a Vehicle?

At the time of hire, all drivers must provide the following documentation:

Driving Licence

A current full UK driving licence held for a minimum of 12 months. Endorsements are subject to insurer approval.

DVLA Driving Record

A valid DVLA check code or recent driving record printout must be provided on collection of the vehicle.
You can obtain this at https://www.gov.uk/view-driving-licence

Secondary Proof of Address

A recent utility bill, bank or building society statement showing your current address.
Passports are not accepted as proof of address.

Age Requirements

Drivers must be aged between 21 and 75.

Drivers hiring vehicles over 3.5 tonnes must hold the correct licence entitlement. For 7,500kg GVW vehicles, drivers must have passed their driving test before January 1997 unless they hold the relevant category.

It is the hirer’s responsibility to ensure they are legally entitled to drive the vehicle.

Drivers Over 75

Drivers over 75 may still be eligible to hire but must arrange their own fully comprehensive insurance. Please contact us well in advance so eligibility can be confirmed.

What Does the Price Include?

All quoted prices include VAT, insurance and a mileage allowance.

Daily hire includes 150 miles
Weekly hire includes 1,000 miles

Excess mileage is charged at 12 pence per mile including VAT.

Fuel is not included. Vehicles must be returned with the same fuel level as supplied.

Security Deposit

A £200 refundable security deposit is required for all vehicle hires.

The deposit is pre authorised on a valid debit or credit card at the time of vehicle collection. No funds are taken unless required to cover damage, charges or breaches of the rental agreement.

Pre authorisations are typically released by your bank within 7 to 10 working days after vehicle return and inspection. Some banks, including online and challenger banks, may hold funds for up to 28 days.

Deposits cannot be paid in cash and must be in the name of the main hirer.

Insurance Excess

The standard insurance excess is £1,000 per hire.

The hirer is responsible for the excess in the event of damage, loss or third party claims, regardless of fault.

Additional drivers can be added subject to approval and an additional fee.

Collision Damage Waiver (CDW)

Collision Damage Waiver reduces the insurance excess:

Standard vehicles: £1,000 reduced to £500
7.5 tonne vehicles: £2,000 reduced to £1,000

CDW is available at an additional daily or weekly charge depending on vehicle type. Pricing will be confirmed at the time of hire.

CDW does not cover negligence, misuse, unauthorised drivers or prohibited damage.

Windscreen, Tyres and Punctures

Windscreen damage is the responsibility of the hirer.
Tyres, punctures and wheel damage are not covered by insurance or CDW and must be paid for by the hirer.

All vehicles are supplied in a roadworthy condition and maintained to legal standards.

Overhead Damage

Overhead damage is not covered by insurance or CDW and is considered driver negligence.

Any overhead damage will be charged in full, including repair costs and loss of use.

Mileage Allowance

Daily hire includes 150 miles
Weekly hire includes 1,000 miles

Excess mileage is charged at 12 pence per mile including VAT.

Payment Methods

Hire charges must be paid by debit or credit card.

Security deposits must be pre authorised on a debit or credit card at collection.
Cash, prepaid cards and American Express are not accepted.

Late Returns and Extensions

Hires are based on agreed collection and return times.

If you wish to extend your hire or expect to return late, you must contact us in advance. Extensions are subject to availability and additional charges.

Late returns without prior notice may incur additional daily charges.

Congestion Charge, ULEZ and Toll Charges

The hirer is responsible for all congestion charges, ULEZ fees, tolls and road user charges.

Any penalties received will incur a £30 administration fee per charge in addition to the fine.

Breakdowns

All vehicles are covered by nationwide breakdown assistance.

In the event of a breakdown, the hirer must contact the details provided on the rental agreement immediately. Unauthorised repairs must not be carried out.

Vehicle Return

Vehicles must be returned to the agreed location.

During office hours, a staff member will inspect the vehicle for fuel, mileage and damage.
Out of hours returns remain the hirer’s responsibility until the vehicle is checked in by staff.

Vehicles returned excessively dirty or with insufficient fuel may incur cleaning or refuelling charges.

Full Terms

These terms form part of the rental agreement provided at collection. By hiring a vehicle, you agree to be bound by these terms and conditions.
